Roles Overview

Roles are the building blocks of security access. They define the specific components of  Allegiance products that users can access. In the case of Voice, the role also defines which records the user can access. Users can only be assigned a single role, so it's important to be sure that the role contains everything the user will need. The same role can be assigned to multiple users who need the same level of access.

Site Administrator

  • Allows a user to access surveys published for all user accounts for the purpose of troubleshooting problems with the survey or to move surveys to another user's account.

  • Allows access to remove respondents from the Opt Out list if they have opted out from the entire company.

  • Allows access to email settings.

Survey Administrator

Allows a user to create and publish surveys as well as manage invitations, reminders, responses, analysts, alerts and reports.

This does not include analyst access to other people's surveys. You must check analyst/advanced analyst in a survey administrator's role to allow analyst access to other report on other surveys/

Analyst

Allows a user to have access to another user's survey data just for reporting only. Requires that the survey owner explicitly give the analyst access to the data. Excludes access to the Correlation Analysis report; enable Advanced Analyst for access to Correlation Analysis

Addendum to Analyst privilege; gives access to Correlation Analysis. If you give advanced analyst without analyst, it will not function properly.

Respondent

Grants the user the level of respondent with the Respondent Management Module

It is not necessary to give this privilege. It is automatically added behind the scenes.

SMS Administrator

Grants the user access to set up keywords and messaging for the SMS feedback product

This is only needed if you are using Voice and enabling SMS as a channel for your customers to input feedback. It's a one-time setup function.

Social Media Administrator

Grants the user access to create and manage search topics as well as the company Twitter account.

Social Media User

Grants the user access to the SocialVoice Inbox to manage incoming Twitter feedback.

This user can reply to tweets and create a Voice incident from a tweet, but cannot create search topics.

Global Question Administrator

Grants the user the ability to create shared questions. This is available only if you use the optional Respondent Management Module.

This is only used for the few customers using the legacy RMM (Response Management Module) product

System Administrator

This is reserved for Inquisite server administrator in an installed account. For a hosted account, this is an Allegiance staff member.

This is comparable to Site Administrator (see above) but also included server logs. Therefore, it is only used for installed accounts.(those with their own server).

Reviewer

Allows a user to approve surveys if the survey review feature is turned on. Turning on the review feature is done at the server level by the system administrator.

The review feature requires every survey designer (survey administrator) to have someone review and approve their surveys before they are deployed. This privilege allows the user to be a reviewer.

Invitation Report Viewer

Allows a user to access invitation reports for a survey. These are the reports that give response rate data.

MUST have analyst access for invitation report view privilege to work.

Survey Manager

Allows the user to be given a subset of the system administrator privileges on a survey. The survey administrator must explicitly give the user survey manager access when setting up analyst permissions.

If given survey manager privilege, analyst privilege is implied. You will set them up as an analyst and then go to the Options tab to mark Survey Manager

Spotlight

Allows the user to use the Spotlight report. Must have purchased the Spotlight product.

MUST also have analyst access

Engage7 Survey

Reader

Allows the user to receive push reports. However, the underlying user account does not allow the user to actually log into the system. It is for push reports only

Selecting the Reader privileges automatically marks Analyst & Advanced analyst and grays out all other privileges.
